As a Body Shop Administrative Assistant, you will be responsible for ensuring all transaction documentation is accurate, complete and processed in a timely manner. The Body Shop Administrator works closely with all Body Shop staff to collect all required transaction information.

Responsibilities of Body Shop Administrative Assistant

  • Review invoices, reports, memos and correspondence to ensure accounting records and documents are accurate.
  • Work with customers and Support Services to collect, maintain and report accurate accounts receivable.
  • Close all work orders in a timely manner while following proper procedures.
  • Process all payments in a timely manner.
  • Process and track accounts payable invoices and vendor applications.
  • Track and assist with the coordination of Parts schedules
  • Perform general office duties, order supplies, file, mail processing and distribution and maintain records management database systems.
  • Opening, sorting and distributing incoming correspondence, including faxes and email.
  • Responsible for answering phone calls
  • Communicate with insurance companies via phone and email
  • Evaluate and prepare job costings
  • Coordinate with insurance and business partners on behalf of customers.
  • Complete administrative duties including emails, phones, data process and invoices.
  • Take pride in delivering extraordinary customer experiences.

Qualifications

  • 2-3 years of previous administrative assistant experience
  • Experience in an office administrator role, autobody repair or dealership setting, preferred
  • A team player who is focused on providing exemplary customer service
  • Excellent communication skills; both written and verbal
  • Ability to multi-task in a fast-paced work environment
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), with solid systems experience
  • Familiar with basic accounting principles
  • High School Graduate or equivalent
  • Must be at least 18-years-old
  • Possess an acceptable driving record and valid driver’s license in state of residence

Pay Rate: $15.00/Hour
